We treat any information that could be used to identify an individual as personal information, also called personal data. We collect someone’s personal information when they sign up as a supporter on our ‘Call Out Form’ or when a person contacts us by email or other means to support and get involved in the Hastings People’s Party.
What personal data we collect
We only collect the information we need, including information to help improve our services. We collect an individual’s:
- name
- email address
- telephone numbers
- postcode
If a person contacts us by email, social media (Facebook, X (Twitter), WhatsApp) or by post, we collect the name, digital or postal contact address and any other personal information they provide.
We may record a person’s image / likeness and voice when we take photographs and make video and/or audio recordings during Hastings People’s Party events.
How we use personal data and the legal basis for using it
We use (“process”) personal information in the following ways shown in this table, which also shows our legal basis for processing it:

Sharing your information
The Hastings People’s Party will not sell personal information with other people or organisations, or give them personal information in exchange for other personal data.
Hastings People’s Party will only share personal information if:
- it is necessary for us to provide it to an insurer and/or an insurer’s agents in connection with a claim on an insurance policy
- we are legally required to give the information to an emergency service provider, statutory body or other person or organisation
- we report a suspected criminal offence to the Police or other law enforcement agency
- we believe it is necessary for any individual’s health or safety for us to provide their personal information to another person or organisation, including in a medical or other emergency
- we believe it is necessary for the safe and competent planning or operation of a Hastings People’s Party event for us to provide personal information to another person or organisation connected with the planning or operation of the event
- it is necessary for us to collect or store personal information on IT equipment e.g. in information submitted via an online form) or on TBR’s Google Drive (e.g. in emails saved on a Hastings People’s Party gmail account), for the effective administration of The Hastings People’s Party or the effective operation of the Hastings People’s Party. We will restrict the personal information we share to what is required in the circumstances.
Location of the personal information we keep
The personal data we collect is stored on computer equipment located within the UK or on equipment operated by organisations in the United States of America who declare compliance with GDPR itself.
How long we keep personal information
The Hastings People’s Party will keep personal information only for as long as we need it for the purposes listed in this privacy policy.
We will store an individual’s personal information on our records for three years after the date of the event. After that, all data will be anonymised and kept for statistical purposes only.

We store and process personal data securely using suitable physical, electronic and operational procedures to safeguard and secure all personal information. We check that the third parties we use for processing your personal data declare similar levels of data security protection.
Privacy and Cookies
A cookie is a small data file a website places on your computer to make using the site quicker. Data is automatically processed through cookies on Hastings People’s Party website.
